Environmental Project & Bid Manager(Exclusive Role)

OVERVIEW OF THE ROLE

 

This role is the key role in managing the Consultancy tendering/sales pipeline, building existing business and winning new business, while also being the key role with oversight of resourcing capacity across the company for taking on new business and for project delivery.

A strong background in ecology and excellent customer relationship management skills are essential for this role to enable delivery of tenders that are properly scoped, priced and professionally presented, ensure the company wins the right type of work at the right price and can deliver on its commercial strategy. You will have ultimate responsibility for project resourcing, with Project and Resource Analysts reporting into this role.

This person will have their finger on the pulse of the current market as well as on the company resourcing, so is best placed to ensure:

  • tendering for the right type of work at the right price,
  • have the right people available to complete the work,
  • have enough work to ensure effective utilization of our team,
  • a positive customer experience,
  • the commercial strategy aligns with market conditions.

You will run weekly tendering and resourcing status meetings, ensuring everyone knows what’s going on, what’s coming next and escalating any potential risks or blocks to the right person.

KEY RESPONSIBILITIES:

  • Operating and managing the tendering/sales function within the company, including:
    • Understanding customer needs, advising customers on their needs and where required, collaborating with key technical staff to best advise customers and meet their needs, to ensure a positive customer experience
    • Populating and coordinating the Bid List and the Bid/No bid process
    • Filtering requests for tenders/fee quotes and identifying those that align with the commercial strategy as well as resourcing capacity
    • Preparing pricing documents and tender submissions for tenders/fee quotes, including identifying and pricing the scope of work required to deliver the tender/work
    • Review and sign off of pricing documents and tender submissions developed by other staff members
    • Delegating preparation of pricing documents, tender submissions and review and sign off of same when deemed appropriate
    • Following up on tenders/fee quotes issued and provide analysis on same (e.g. reasons for award or non-award of tenders)
    • Re-developing and reenergizing the company tender/fee quote templates, developing other sales material e.g. presentation materials, case studies, slides, brochures
    • Maintaining and nurturing relationships with existing customers
    • Analysing and tracking sales metrics relevant to the commercial strategy
    • Attracting and winning new business (business development) in line with the company and commercial strategy
    • Reporting to the COO regularly on progress to meeting the commercial strategy
    • Monthly briefings/reporting to the CEO, CTO and COO on status of sales targets, trends and market opportunities.
  • Ultimate responsibility and oversight for company wide resourcing and establishing resourcing capacity across the company in the short, mid and longer term
    • Managing and coordinating the Project and Resource Analyst(s)
    • Run weekly meeting with Project and Resource Analyst to:
    • – review and confirm resourcing capacity across the company to inform the bid/no bid process; and
    • – advise and provide a handover of any new business won to the Project and Resource Analyst(s) to enable resourcing of the new work via Lead of Pod meetings
    • Reporting to the COO regularly on company wide resourcing levels and identifying where/when further resources/recruitment might be required
    • Monthly briefings/reporting to the CEO, CTO and COO via the Monthly Management Meetings on status of resourcing capacity and identifying resourcing/ recruitment needs
  • Responding to complaints from customers and give after-sales support when requested
  • Analysing market data to understand the market conditions and offer ideas on adjusting the commercial strategy
  • Line management of staff
  • Other suitable duties that arise depending on business needs

EXPERIENCE AND SKILLS

QUALIFICATION/TRAINING

  • A strong background in ecology is essential
  • A qualification in an ecological/environmental discipline
  • Experience with fee quote preparation and sales processes
  • Experience with successful sales growth and account management

LENGTH OF EXPERIENCE

  • Minimum of 5+ years’ experience working in ecological/environmental consultancy, project management, bid/tender preparation and/or resource management.
